Job Description
Westaff is seeking an Administrative Assistant for a local non-profit in Helena, MT! Schedule: Full or part time, flexible schedules , 20-32 hours per week Term: could turn into a permanent opportunity for the right fit! Pay: $20-$24 per hour Examples of Duties: Receives, processes, files and/or routes all incoming mail Records and queues up all incoming bills for payment. Serves as main point of contact for maintenance, mailing, shipping, supplies, equipment, bills, and IT Receives and welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Organizes and schedules meetings and appointments; manages President/CEO’s calendar and s her/his schedule is optimized and respected. Serves as primary liaison with the Board of Directors, including coordinating meetings, travel, and records of the board’s work. Assists the President/CEO with all outgoing mail and correspondence to external audiences including donors, vendors, partners, and others. Maintains annual filings (Secretary of State, Web-Domain, Assumed Business Names and Brand), and generates reports as needed. Qualifications: At least two years of college credit or associate degree, as well at least three years of equivalent experience. Experience with office administration is preferred. The job requires strong interpersonal skills, the ability to operate personal computers and proficiency with Microsoft Office , or equivalent. Knowledge of scanners, copiers, and other office equipment is required All permanent employees of the Foundation are required to pass a multi-state criminal background check.
