Administrative Assistant The Archie Bray Foundation seeks a full-time administrative assistant to join and support an organization dedicated to enrichment of the ceramic arts. Organization?The Archie Bray Foundation for the Ceramic Arts (Bray) is an internationally recognized arts organization located in Helena, Montana. Founded in 1951, the Bray is a public, nonprofit organization offering artist residencies, public exhibitions, ceramic supplies, and educational workshops and community classes for adults and children. The Bray’s facilities include year-round and seasonal artist studios, education and research facility, sales gallery, rotating exhibition spaces, kiln facilities, administrative offices and a manufacturing and retail ceramic supply operation. The Bray recently completed a $6 million capital campaign for a new education center (2017), renovated administrative offices (2018) and new sales, exhibition and history galleries (wrapping up in early- to mid-2021). ? Mission The Archie Bray Foundation is actively committed to promoting, celebrating, and sustaining the ceramic arts through the residency program, education, gallery, ceramic materials and technology, and community engagement on a local, national, and international scale. In the words of Archie himself, the Bray makes available, “for all who are seriously and sincerely interested in any of the branches of the ceramic arts, a fine place to work”. Summary of Responsibilities This position will provide support for the programmatic and executive staff at the Archie Bray Foundation and will provide initial engagement with visitors and the public. The position is full-time and reports to the Director of Operations but will also work closely with core program area heads across the organization including the Resident Artist Director. Hours ? 40 hours/week; typically, M-F, 9am to 5pm. Occasional weekend days or evenings may be required Compensation and Benefits ? Hourly pay range is $13-15/hour and will be commensurate with qualifications and experience. ? This is a permanent, full-time, hourly, non-exempt position. ? Creative, dynamic environment. Knowledge, Skills and Abilities ? High degree of organizational and time management skills ? Excellent judgement, poise, and professionalism ? Ability to enjoy working in a fast-paced environment ? Proficiency with using the internet and navigating online software services (SaaS) ? Proficiency with Microsoft Office products (Word, Excel, etc.) ? Ability to operate (or learn) all Bray office machinery - Copier/Scanner, VoIP phones, etc. ? Experience with database software preferred ? Willingness to learn new programs and skills Duties ? Supports Resident Artist Director o Preparation and distribution of board meeting materials o Coordinates appointments calendar o Assists with special projects? ? Performs general admin and reception duties, including: o Greeting visitors to main offices o Providing information or routing inquiries to other staff from phone calls and emails ? Supports program staff in each of the core program areas (communications, development, education, gallery, and residency) in a variety of functions, including: o Distributes mail to staff and resident mailboxes o Scans and submits bills to online bill-pay service o Makes travel/lodging arrangements for staff or visiting artists o Printing, laminating, copying, filing o Preparing small mailings or packing small parcels o Maintains office supplies inventory o Maintains and updates software licenses o Completes assigned tasks in accordance with all policies and procedures o Assists with special projects? Other Duties ? Participates in weekly staff meetings ? Assists with staffing Bray public events (occasional weekends or evenings with advance notice) ?
